Throughout this document, when referred to as "we" or "us", Bot Lab as a whole is meant, including everybody responsible for the development and operation of HornBot.
When referring to "personal data", this includes your Discord user-id and other information already accessible to other Discord users (such as your username or avatar), as well as any personal information you voluntarily provide via command usage (e.g. a custom nickname used for text-to-speech).
We only collect and store data as reasonably necessary to operate, maintain, secure, and improve our services. This generally includes the following categories of data:
Server (guild) settings — server-id, configured channel id(s), configured role id(s), your chosen command prefix, language, and other feature toggles and preferences (e.g. auto-join/auto-leave behavior, message length limits, translation settings) that a server administrator has configured for the bot.
User preferences — your user-id, chosen voice, speaking rate, pitch, platform, and an optional custom nickname you set for text-to-speech purposes.
Technical and operational data — we may collect technical information (such as error messages, logs, or other diagnostic data) as reasonably necessary to identify, troubleshoot, and fix issues with our services, and to keep them running securely. The exact scope of this data may vary depending on the nature of the issue being investigated.
Message contents, voice presence data, and other content you generate are only processed in real time when you explicitly trigger a feature that requires it (e.g. text-to-speech), and are not stored beyond what is needed to provide that feature, except as otherwise described in this policy.
All of our text-to-speech features rely entirely on third-party TTS providers — we do not generate audio ourselves. When you use these features, the text you submit is transmitted to one or more of these third-party providers in order to generate audio. The specific provider used may depend on the voice or platform you select, and the providers we rely on may change at any time.
Along with the text itself, technical parameters needed to generate the audio (such as the selected voice, speaking rate, and pitch) may also be sent to these providers. We do not send your Discord user-id or server-id to these third-party TTS providers.
These third-party providers process this data under their own respective terms and privacy policies, which are outside of our control. We recommend reviewing those policies if you have concerns about how a specific provider handles your submitted text.
If you subscribe to our premium features via Patreon, we store your Discord user-id together with your subscription/tier status, so that premium access can be granted to the correct account. We also record which user activated premium access for a server, where applicable. We do not receive, process, or store any payment card, billing address, or other financial information — all of that is handled exclusively by Patreon under their own privacy policy.
We also run occasional promotions and reward mechanisms that grant temporary premium access, such as giveaways or voting rewards via listing sites like top.gg. For these mechanisms, we store a timestamp on your account marking when your temporary access expires. Where a third-party site notifies us of an action you took on their platform (e.g. a vote), we do not receive any other information about your activity on that site.
Different subscription tiers include different usage allowances (for example, the number of characters that can be processed for text-to-speech). To enforce these limits fairly, we track your usage per language or platform, tied to your user-id. This usage data resets on a monthly basis and is used solely to determine your remaining allowance — it is not shared with anybody else.
In addition to the TTS providers described in Section 3, our services rely on the following third parties, each governed by their own privacy policy:
We do not sell your data. We only share data with the third parties described in this policy to the extent necessary for them to perform their function (e.g. a TTS provider generating audio, or Patreon processing your subscription payment).
We retain the data described above for as long as it is needed to provide our services to you, for as long as reasonably necessary for the purposes described in this policy, or until you request its deletion.
All user-related and server-related data can be deleted by us upon request in our support server. However, free trial access (including giveaway and voting-based trials) will be marked as used to prevent abuse, even after deletion.
Please note that if you delete your data while an active Patreon subscription is still ongoing, your premium access may stop functioning correctly until you re-authorize it, and this does not cancel your Patreon subscription — cancellations must still be made directly through Patreon.
We may update this Privacy Policy from time to time, including to reflect changes to the third-party services we use. Continued use of our services after changes are posted constitutes acceptance of the updated policy. We encourage you to review this page periodically.
